1. Information we collect

We may collect account information (such as name and email), profile information, academic/professional details, application materials, uploaded documents, and operational/security logs.

2. How we use information

We use information to:

  • Create and secure accounts
  • Operate matching, applications, and platform workflows
  • Provide support and troubleshoot issues
  • Prevent abuse and improve platform reliability
  • Meet legal, security, and institutional compliance obligations

3. Authentication and service providers

We use third-party providers to operate the platform, including identity/authentication (for example, Clerk), cloud hosting, storage, and email delivery. These providers may process data on our behalf subject to contractual and security controls.

4. Role-based access and visibility

Platform access is role-based. Students generally access their own records. PIs/lab managers and administrators may access information needed for legitimate platform, support, or institutional operations.

5. FERPA-related deployments

In university environments, some records may be treated as FERPA-covered education records. LaBlink provides technical safeguards such as authentication, access controls, logging, and consent mechanisms. Institutions remain responsible for their own FERPA policies, notices, and administrative procedures.

6. Optional AI feature consent

Certain optional AI-assisted features (such as resume parsing) may require sending limited content to third-party AI providers. These features require separate opt-in consent before eligible data is shared.

You can decline those AI features and continue to use core platform functionality.

7. Security safeguards

We use reasonable technical and organizational safeguards, including encryption in transit and access controls. No method of transmission or storage can guarantee absolute security.

8. Retention and audit records

We may retain data and logs for operational, security, legal, and institutional compliance purposes. Retention periods may vary based on institutional policy and applicable obligations.

9. Your choices

Depending on platform role and institution configuration, you may be able to review and update profile information, manage certain notification settings, and control consent for optional AI features.

10. Changes to this notice

We may update this Privacy Notice from time to time. Updated versions will be posted with a revised date.

11. Contact

For privacy questions, contact the LaBlink team or your institution administrator/compliance office, as applicable.
